Rental Agreement

This is the agreement you accept when you book a condo through White Sand Shores. It's written in plain English on purpose. If anything here is unclear, ask us before you book.

1. Who this is between
This agreement is between you — the person making the booking (the Guest) — and the owner of the condo you are booking (the Owner), represented by White Sand Shores and its hosts (together, we or us). The condo, dates, number of guests and price are the ones shown on your booking confirmation, which forms part of this agreement.
This is a short-term vacation rental, not a lease. You are a guest with a licence to occupy the condo for the booked nights only; no tenancy is created.
2. Who may book
- You must be 21 or older to book, and you must stay in the condo for the whole booking. Bookings made for someone else, or by anyone under 21, may be cancelled without refund.
- We, or Shores of Panama, may ask to see government photo ID matching the booking name at check-in or during the stay.
- By booking you confirm that everything you gave us — name, contact details, number of guests — is true.
3. Guests and occupancy
- Only the number of guests on your booking may stay overnight, and never more than the condo's listed maximum.
- Day visitors beyond your booked guests need our OK in advance and must follow the resort's rules; the resort issues wristbands per booked guest, not per visitor.
- No parties, events or gatherings. Shores of Panama is a residential resort and the condo is someone's home.
4. Check-in and checkout
- Check-in is after 4:00 PM on your arrival date. Checkout is before 10:00 AM on your departure date. Cleaners are scheduled around these times, so late checkout is only possible if we've agreed it in writing.
- Entry is by keypad code, which we send before your stay. Keep it to your party. Lost keys, fobs or parking passes are replaced at cost.
- On checkout: dishes in the dishwasher, trash bagged and out, doors and balcony locked. Leave the rest to the cleaners.
5. Payment and taxes
- The total shown at checkout is what you pay us: the nightly rate for your dates, the cleaning fee, our booking fee, and 12% tax (7% Florida state sales tax and surtax plus 5% Bay County tourist development tax), which we collect and remit.
- You can pay in full, or pay a deposit now and the balance later. If you choose the deposit, the balance is charged automatically to the same card on the date shown at checkout (25 days before check-in). If that charge fails we'll contact you; if it is still unpaid 7 days later we may treat the booking as cancelled under section 7.
- Cards are handled by Stripe. We never see or store your card number.
6. Resort fee, wristbands and parking
Shores of Panama charges its own resort fee at check-in, paid directly to the resort, not to us. It covers wristbands for the pools and amenities and a parking pass.

One vehicle per booking. Where a condo comes with an assigned parking spot, use that spot only — the resort enforces its own parking rules. Wristbands must be worn at the pools and are not replaced free of charge.
7. Cancellation and changes
- 25 or more days before check-in: cancel and we refund what you've paid less a cancellation fee of 50% of the booking total.
- Within 25 days of check-in: the booking is non-refundable, including the balance.
- No refunds for late arrival, early departure, unused nights, weather, or travel problems. We recommend travel insurance; it is inexpensive and covers exactly these things.
- Hurricanes: if a mandatory evacuation order from Bay County covers your dates, nights you cannot use are refunded in full or moved to new dates — your choice.
- Date changes are a cancellation and a new booking unless we agree otherwise in writing. Changes to the number of guests must be approved by us before arrival.
- To cancel, email or text us and quote your booking number. Refunds go back to the original card within 5–10 business days of our confirmation.
8. House rules
- No pets of any kind. A pet in the condo ends the stay without refund, plus the cleaning cost.
- No smoking or vaping anywhere inside, including balconies. Evidence of smoking is a $350 deep-clean charge.
- Quiet hours are 10:00 PM to 8:00 AM, and the resort's rules apply at all times. Repeated noise complaints from the resort or neighbours can end the stay without refund.
- No grills, open flames or fireworks on balconies or anywhere on the property — it's a fire-code rule, not ours.
- Nothing thrown or hung from balconies; balcony doors locked when you're out.
- Pools, hot tubs and the beach have their own posted rules and hours. No glass at the pools or on the beach.
- Treat the condo as you would a friend's home. Furniture stays where it is; no moving it onto balconies.
9. Damage, cleaning and your card on file
- You are responsible for your party and for any damage to the condo or its contents beyond normal wear, missing items, extra cleaning beyond a normal turnover, and any fines the resort issues because of your party.
- Tell us about accidents straight away — a broken glass is no problem; a hidden stain found by the cleaners is.
- By booking you authorise us to charge the card used for the booking for documented damage, missing items, extra cleaning, smoking or pet charges, or lost keys and passes. We'll send you an itemised note with photos or receipts first, and we charge actual cost.
10. Safety and liability
- The condo is in a beachfront high-rise with pools, hot tubs, balconies and Gulf access. Children must be supervised at all times. Use of the pools, hot tubs, beach, balconies and resort facilities is at your own risk.
- To the fullest extent Florida law allows, neither the Owner nor White Sand Shores is liable for injury, illness, loss or damage to you, your party or your belongings during the stay, except where caused by our own negligence.
- You agree to indemnify the Owner and White Sand Shores against claims, costs and damages arising from your party's use of the condo or breach of this agreement.
- Lock up. We are not responsible for valuables left in the condo or in vehicles.
11. What we promise you
- The condo will be clean and as described on the listing when you arrive, with working appliances and the amenities shown.
- If something breaks during your stay, tell us and we'll get it fixed as fast as the resort and trades allow.
- If the condo becomes unavailable for your dates for a reason outside your control — sale, storm damage, a major failure — we will offer you a comparable condo if we have one, or a full refund of everything you've paid us. That refund is the limit of what we owe you in that situation.
12. Access, repairs and ending a stay
- We, the Owner, or the resort's maintenance staff may enter the condo for repairs or inspection with reasonable notice, and without notice in an emergency.
- If this agreement is seriously broken — a party, more people than booked, smoking, pets, disturbing neighbours, or abuse of the resort's staff or rules — we may end the stay immediately with no refund, and you must leave the same day.
13. Your information
We use your name, contact details and booking details to run your stay, to comply with tax rules, and to contact you about this booking. Card details go directly to Stripe and never touch our site. We don't sell your information. We keep booking records for as long as tax law requires.
14. The legal part
- This agreement, together with your booking confirmation and the listing as it appeared when you booked, is the whole agreement between us. If any part of it is found unenforceable, the rest still stands.
- It is governed by the laws of the State of Florida. Any dispute will be heard in the courts of Bay County, Florida.
- If we don't enforce a term on one occasion, we can still enforce it later.
- We may update this agreement for future bookings. The version you accepted at checkout — shown at the top of this page and recorded on your booking — is the one that applies to your stay.
